Problem before Sally

The Volksbank works with a committee structure in which three bodies meet regularly for full-day sessions, partly in person, partly hybrid and partly fully digital. Documenting these board meetings was demanding: of two employees, one moderated while the other had to keep the entire day free just to take minutes. Valuable working time went into pure note-taking instead of the actual content.

Target

As part of exploring where AI could be used sensibly within the bank, minute-taking and meeting summaries were high on the list. The goal was to do without the second colleague whose only job was to take minutes, while keeping the same or better summary quality. It was also important to the bank that the solution meets the highest data protection standards.

Solution

The bank compared several solutions, including one already available in its existing IT environment, and deliberately chose Sally. Two reasons were decisive:

Quality and depth of the summary: Sally delivers a strong result immediately, without additional add-ons or any downstream optimization of the transcript.
Defined insights and templates: with these, the team builds minute templates whose output closely matches the bank's existing protocols and raises the quality of the meeting summary.

Another plus point is that Sally also works in hybrid settings, reliably capturing both in-room and remote participants.

Result

After Sally was introduced, it spread through the bank almost on its own: the board leaders used it first for their full-day sessions, followed by other managers. It caught on through a ripple effect, because anyone who saw the result once no longer wanted to keep taking notes.

For its internal business case, the bank puts the time savings at around 75 %: roughly 70 % from no longer taking notes and writing minutes, plus about 5 % in quality gains, because moderation can focus fully on the discussion. Usable minutes including a task list are often ready just a few minutes after the meeting. From the feedback of heavy users: what used to take an hour of minute-writing is now distributed after around 5 minutes of fine-tuning.
