Problem before Sally
Client advisors and other departments kept coming to IT with the same question: why does writing up the minutes of a conversation still take three to four hours when AI is already in use? Until then, conversations were recorded on dictation devices that cost around 500 euros each. Assistants then typed up the dictation.
A self-built process brought no real relief: record on the iPhone, send the file to the computer, transcribe it in Word and hand the transcript to the internal AI to produce minutes. The results were unconvincing because speakers were not recognised, and the manual effort remained too high.
Target
Minutes should no longer cost hours. With AI, BüchnerBarella wanted to achieve two things:
- Cut costs: No more dictation devices at around 500 euros each that have to be purchased, managed and maintained, and no assistants typing up dictations.
- Free up time: Instead of three to four hours of minute-taking after a meeting, that time should go back into client conversations and the actual work.
The requirements: The solution had to run as an app on the phone, which is always at hand anyway, even in the car. And it had to be GDPR-compliant, a requirement none of the large providers convincingly met.
Solution
A colleague with deep experience in the AI field recommended Sally. Lujain first tested the app privately and was convinced by how easy it is to use: one button and the recording starts. After the demo, the Sally team provided trial licences and supported a proof of concept covering several use cases:
- Visit reports and annual reviews: Sally summarises the conversations in a structured way.
- Trade fairs and field appointments: Conversations can be recorded quickly via the app and are saved immediately.
- Microsoft 365: Sally can be connected, and to-dos are created directly from the results.
- Custom templates: Since Sally 2.0, the team builds templates with its own prompts.
Data protection was the deciding factor. As with any new software, the data processing agreement (DPA) went to the data protection officer, who reviews it together with an external service provider where needed. The feedback: finally a DPA with nothing to object to. He even wanted to save it as a template to give other SaaS providers as a model. For Lujain, that was a clear signal: a company that is this careful about data protection is just as careful about its product. That got things started.
The collaboration was convincing as well: the advice was personal, reliable and always available from day one. “We care a lot about how we work with service providers, because we are a service provider ourselves,” says Lujain.
Result
After the proof of concept, BüchnerBarella chose Sally and is now rolling it out to around 200 employees in field service, sales and management. The company no longer needs to buy dictation devices at around 500 euros each, the phone is enough.
In IT, Sally already runs in kick-offs and workshops. The roughly hour and a half of follow-up work on the minutes after each kick-off is gone, and nobody has to take notes anymore.
Lujain’s advice to anyone considering Sally: “Start with a good onboarding session and make sure to use the templates, they are a real game changer.”
