Is meeting transcription even compatible with § 203 StGB?

Do clients have to consent to the recording?

Yes, both under data protection law (Art. 6 GDPR) and professional law. Sally provides a standard wording and a consent notice that can be shown or spoken at the start of every appointment. Optionally, automatic emails can be sent to all participants beforehand, in which they explicitly consent or decline, so consent is documented before the conversation even begins. In practice, acceptance is high once clients understand that the recording serves better documentation of their own matter, not surveillance.

What if a client declines the recording?

Then Sally leaves the conversation. In online meetings the voice command „opt out“ is enough: the AI removes itself from the appointment and the meeting proceeds as before. The client's right to refuse the recording is assumed under professional and data protection law. In practice, fewer than 5% of clients decline once the concrete benefit (complete documentation, faster processing, fewer follow-up questions) is explained.

How accurate is transcription for tax terminology?

Sally is trained on industry vocabulary. Terms like „§ 7g EStG“, „input tax deduction from travel expenses“, „investment deduction“, „accrual vs. cash accounting“ or „Riester subsidy“ are recognized correctly, not garbled. Firm-specific terms (client aliases, internal abbreviations, special forms) can be stored additionally so that even unusual company names are transcribed cleanly.

The structured protocols and tasks stay in Sally for as long as the firm needs them, and can be exported or deleted at any time (Art. 17 GDPR).
